A Workflow is a particular instance of a coordinated process. It brings together the steps, assignments, tasks, and records being processed, such as the work needed for a managed document review.
When to use it
- Use it to carry out an available review, approval, or other defined process.
- Use it when work needs to move through coordinated steps rather than remain a single standalone task.
Key information
- Identity and purpose: workflow ID, name, description, and purpose.
- Coordination: workflow leader, priority, instructions, and checklist.
- Progress: current step, state, due date, and completion percentage.
Common relationships
- Workflow Content identifies the managed records the process applies to.
- Workflow – Node connects the workflow to its process steps.
- Workflow – Task connects the workflow to its task work.
Working with this record
Initialize an instance from an appropriate Workflow Template, then review its content and assignments. Use Start Workflow when the prepared instance is ready. Follow the resulting tasks and process state to understand progress through the workflow.
Example
Manual Approval is a Workflow initialized from a document approval template. Its content includes Operating Manual P-100. After the assignments are checked, the workflow is started and the review work becomes active.
Choosing the right type
Choose Workflow for a particular execution of a process. Choose Workflow Template for the reusable starting definition. Choose Task for an individual activity within or outside that process.
