A Task is an individual piece of work that can be assigned and tracked. It carries the activity’s purpose, instructions, dates, responsibility, and progress, with connections to the records needed to perform the work.
When to use it
- Use it when someone needs to complete a defined activity with a clear outcome.
- Use it for project activities or work performed as part of a workflow.
Key information
- Work definition: name, description, instructions, type, and priority.
- Schedule and effort: due date, estimated dates, estimated effort, and actual effort.
- Progress: state, completion percentage, completion date, and work log.
Common relationships
- Assignee identifies the person or responsibility group expected to act.
- Project – Task connects a Project to its task work.
- Deliverable connects a Task to a Document or Item produced or supplied by the work.
Working with this record
Write a clear activity and expected result, assign the work, and provide the supporting context. Save progress and evidence before using Complete Task. Check any connected workflow progress separately; completing one task does not establish that the whole process is finished.
Example
Review Pump Manual is a Task assigned to Jordan Lee with a due date. Its reference identifies the manual to review. Jordan records the outcome before completing the task so the team can see what was checked.
Choosing the right type
Choose Task for a defined activity. Choose Issue to coordinate a problem needing resolution, Change Task for work specifically organized under a change, and Milestone for a significant event or achievement.
